How to create and manage custom fields

Learn how to create and manage custom fields in Nutshell for companies, people, and leads to tailor your CRM experience.

The number of custom fields you can create is determined by your Nutshell plan.

Custom fields are key to configuring Nutshell for your business. Learn the options and how to create a new custom field in this article!

Create your custom field

You can create custom fields for your companies, people, and leads in Nutshell. Use these for fields that don't already exist in Nutshell, like internal customer order numbers or important dates. All you need to do is access Settings > Organization > Custom Fields, and then click on the respective tab of the type of record you wish to add the field to —Company, Person, or Lead. For example, if you want to create a custom field for leads, just click on the Lead tab.

Click + Create a new field, under the gray header for lead custom fields, company custom fields, or people custom fields, to choose where the field will be created.

You'll be presented with a popup box to name your field and to choose the type. You can also give your custom field a description to help team members remember the field's purpose.

Types of custom fields

Leads:

  • Text - this field can store one line of text (225 characters is the max limit)

  • Long Text - this field can store paragraphs of text

  • Number - stores a numeric value. Lists can be filtered by numeric ranges (greater than, less than, between). Can optionally be set up as a calculated field that updates automatically from a formula — see Calculated custom fields below.

  • Currency - this field will display text in monetary amounts. Can optionally be set up as a calculated field that updates automatically from a formula

  • Date

  • Email

  • Decision - selecting this field will allow you to set up a multiple choice option, such as Yes/No

  • Address

  • Phone

  • URL

  • Product - this field lets you assign value to leads by marking which products or services they are interested in

Companies and people:

  • Text - this field can store one line of text (225 characters is the max limit)

  • Currency - this field will display text in monetary amounts

Decision fields

A decision field is a drop-down list that you create. You can add as many options as you want to a decision field.

Check the field "Allow more than one option to be selected" to allow your reps to select several options.

Calculated custom fields

Calculated custom fields let you define a formula that updates a lead’s number or currency custom field value automatically, using lead metrics, other custom fields, and basic math. You set the formula once; Nutshell keeps the value current as the underlying data changes. Calculated fields are available for lead custom fields only, and only when you create a new Number or Currency field. You cannot turn an existing static field into a calculated one after it has been created.

Choose Number or Currency as the field type, and the Add calculation toggle will appear in the dialog. Turn it on to reveal the Formula box, where you can build your formula. Click Create custom field when you're done.


Build your formula

Click Insert field to add:

  • Currency or Numeric custom field (any lead number/currency field that isn't itself calculated)

  • Lead value, Lead confidence, Total emails sent, Total emails received, Total logged activities

Use the toolbar for plus, minus, multiply, divide, and parentheses to write your expression. Formulas can reference static lead number and currency custom fields, not other calculated fields — Nutshell validates this when you save.​

How calculated fields work on leads

Calculated fields are read-only on the lead page — your team cannot type into them manually. When a value that your formula depends on changes (such as lead value, confidence, a referenced custom field, or email activity), Nutshell recalculates the field in the background.

On the lead page custom fields widget:

  • A calculator icon beside the field name shows the formula when you click it.

  • Use Recalculate value on the field row to refresh the value manually — helpful if you want to update a closed lead or double-check a result.

  • If the field has no value yet, you may see No value yet until Nutshell has enough data to run the formula.

Calculated fields do not appear in the form editor, so visitors cannot submit values for them through Nutshell forms. You can still add calculated fields as columns on your leads list and use them in reports where lead custom fields are supported.

Add information in the field


Where your custom fields appear on a record depends on your layout settings. On company and people pages, and on lead pages, you can add dedicated custom field widgets to the workspace or sidebar using Customize layout. Once a custom fields widget has been added, you can edit fields directly on the record page and they'll be saved immediately. The custom fields widget has All, Filled, and Empty tabs so you can quickly filter between fields with and without data. If you've just created a new field and don't see it, switch to the All tab.​

You also have control over the order of custom field widgets on company, people, and lead pages. Open Customize layout and drag and drop widgets into the order you prefer.

Add the custom field as a column on your lists

You can add the custom fields as a column on the companies, people, and leads tabs by clicking the "Columns" icon shown below. You can also add the custom field as a column under Reports > Custom if the field is on a lead or company.

FAQ

How many custom fields can I have?

This is determined by your subscription level—you have access to

  • Sales Foundation - 10 custom fields

  • Sales Growth - 25 custom fields

  • Sales Pro - 50 custom fields

  • Sales Business - 100 custom fields

  • Sales Enterprise - Unlimited custom fields

Can I change a custom field after it was created?

Yes. You can rename a custom field at any time, and you can also convert between Text and Number field types. Other field type changes aren't supported. Note that if you rename a field, any data previously entered into that field will be lost.

Can I report on custom fields?

You can sort and filter by custom fields within the companies, people, and leads list pages. You cannot filter by custom fields within custom reports.

Can I change the currency type for custom fields?

Users cannot change the currency type for custom fields.

Can I import to custom fields?

Yes! First, create the custom field in Nutshell. Then, add it as a column in your CSV. The only custom field type that you cannot import into are address and currency custom fields on leads. Learn more about how to format your file here.

Can I make a custom field a step in my sales process?

Custom fields can be added to your sales automation pipelines as stage goals. You can learn more about stage goals here.

Can I turn an existing custom field into a calculated field?

No. Calculations can only be added when you create a new lead Number or Currency field. If you need a calculated version of an existing field, create a new calculated field and retire or archive the old one.

Can I use calculated custom fields on forms?

No. Calculated fields are read-only and are not available to add in the form editor.

Can I use one calculated field inside another formula?

No. Formulas can reference static lead number and currency custom fields, plus the built-in lead metrics listed above — not other calculated fields.
