Pipelines: Manage pipeline visibility

By default, every pipeline in Nutshell is open to your whole team. Most of the time that's exactly what you want. But some pipelines hold information that only a smaller group should see, like executive level deals, a small side project, or a handful of accounts that need extra confidentiality.

Pipeline visibility lets you restrict a pipeline to a specific list of users or teams. Everyone outside that list simply won't see the pipeline exists, and the leads inside it stay out of their lists, reports, and dashboards. Meanwhile, your team keeps completely normal, unrestricted access to every other pipeline.

To restrict a pipeline:

Admins can always see every pipeline, so you don't need to add them to the list yourself.

Any pipeline with limited visibility shows a small badge next to its name on your Pipelines page, so you and your fellow admins can see at a glance which pipelines currently have visibility limits set.

What happens to the leads inside a restricted pipeline?

They follow the same access list as the pipeline. Anyone not on that list won't see those leads in lead lists, reports, dashboard cards, or the funnel report, and they can't open one directly either.

If a lead is assigned to someone who doesn't have pipeline access, can they still see it?

Yes. A person assigned directly to a lead can always see their own lead, even if they don't otherwise have access to the pipeline. Restricting a pipeline narrows down who else can see it, but it never takes a lead away from the person it's assigned to.

Will the people and companies connected to a restricted lead be hidden too?

It depends on what else they're connected to. If a person or company is only ever tied to leads in the restricted pipeline, they'll be hidden the same way the leads are. If they're also connected to leads outside the restricted pipeline, they'll still be visible to your team through those other leads, only the details from the restricted lead itself (its activities, emails, and notes) will be hidden from someone without access.

What's the difference between pipeline visibility and team based restrictions?

Team based restrictions control what a person can see across your whole account. Pipeline visibility only restricts one specific pipeline and its leads, so you can lock down a single sensitive pipeline without changing anyone's access anywhere else.

Can restricted users still see reports?

Yes, but leads in a pipeline they don't have access to won't be included in those reports.
