How are activity quotas calculated and displayed in Nutshell reports?

Activity quotas in Nutshell are designed to help track and measure user performance over specific time periods. These quotas are calculated and displayed in reports based on several factors, including the selected date range and the start date of the quota. Below is a detailed explanation of how these calculations work:

Weekly Quotas and Prorating

  • Weekly Basis: Activity quotas are typically set on a weekly basis. For example, a user might have a weekly quota of 4 activities.

  • Prorating for Date Ranges: When generating a report for a custom date range, Nutshell prorates the weekly quota to match the exact dates in the report. This means that if the date range spans partial weeks or does not align perfectly with the quota period, the displayed quota will be adjusted accordingly. For instance, a prorated quota might show as 7 for a month-long range instead of simply multiplying the weekly quota by the number of weeks in the month.

Impact of Quota Start Date

  • Quota Effective Date: Quotas only count from the date they were created or started. If a quota is created partway through the selected date range, the report will only include the quota from its start date onward. For example, if a quota is created on June 17 and the report covers June 1–30, the system will prorate the quota starting from June 17. This shorter effective period results in a smaller prorated quota for the report.

Common Scenarios

  • Partial Weeks: If the selected date range includes partial weeks, the system prorates the weekly quota for those days. For example, if the range covers only three days of a week, the quota for that week will be adjusted to reflect those three days.

  • Mid-Period Quota Creation: When a quota is created or modified during the reporting period, the prorated quota will only account for the days from the effective date onward. This ensures that the displayed quota accurately reflects the time period during which the quota was active. Nutshell’s prorating mechanism ensures that activity quotas are accurately calculated and displayed based on the selected date range and the quota’s effective date. This approach provides a fair and precise representation of user performance, even when date ranges or quota start dates do not align perfectly with calendar weeks or months.
