How to connect your email with Nutshell

This article will help you connect your email with Nutshell for seamless integration and efficient communication.

Use the email sync between Gmail or Office 365 and Nutshell to send and receive your email messages in both places. With any other email provider, connect to Nutshell to send emails from Nutshell.

Take a tour in Nutshell:

By connecting your email with Nutshell, you can:

  • Use time-saving email templates and follow-up emails

  • Easily track when messages are opened and clicked

  • Share emails with your team

  • Easily create Nutshell people from your email conversations

There are two parts to emailing with Nutshell. Send personal or bulk emails to your contacts through Nutshell. Sync email from your inbox into Nutshell to keep all of your conversations organized.

Make sure the email address you want to sync is listed on your Nutshell profile. Note that one email address per Nutshell user account can be set up to sync. Up to 5 email addresses may be connected via SMTP to send emails.

Send

Within your Nutshell settings, click Send. Then click Set up email with Nutshell.

Follow the steps in the wizard to get connected!

Connect with Google

As soon as you click Connect with Google, you'll see a Sign in with Google pop up. Choose the Gmail account that you want to connect to Nutshell. You will be prompted to grant Nutshell permissions to optionally sync all your email and your calendar activities. Click Allow.

Don't worry, Nutshell will never delete emails, contacts, calendars, or tasks from your Google account.

You're now ready to start sending email through Nutshell using your Gmail account!

Connect with Office 365

When you click Connect with Office 365, you'll see a Microsoft sign in popup. Pick the account that you wish to use for your email sync, then enter your password (or, if you're already signed in to Office 365, you'll be authenticated automatically).

That's it! You can start sending email through Nutshell using your Office 365 email account.

I use a different email provider

You'll start by selecting or adding the email address you'd like to use to send email from Nutshell.

After you click Next, you'll be prompted to enter your SMTP hostname, port type, and port number. Nutshell needs this information about your email server in order to connect and authenticate to securely send your emails. If you're not sure about these settings, please contact your email administrator. For more information about SMTP and Nutshell, click here.

After clicking Next, add your email account's username and password. Be sure to include the credentials you use to log into your email account here. Click Connect and test.

Email sending settings

On your Email > Send settings page, you can decide how you'd like to send emails, whether you'd like to track your emails, and create your custom email signature for emails sent from Nutshell.

If you have selected to send email from inside of Nutshell, you'll be able to send emails from directly within a person, company, or lead's timeline, in bulk from list pages, or from your dashboard. Click here to learn the different ways to email your contacts from Nutshell.

If you are sending an email from your default email application, you can click any email address on a profile to open your default email and automatically BCC the email back into Nutshell to organize it. Click here for help setting up your computer's default email application. Note that with this selection you are not able to use email templates or sequences.

Sync

Set up your email sync to see all messages you send or receive in Gmail or Office 365 inside of Nutshell, keep every conversation organized on timelines, and report on of how often you're emailing with your customers and leads. Turn on email sync

To sync your email go to Your settings > Sync. If you've already connected your email address to send email from Nutshell, you can simply toggle the email sync on. If not, click Set up and turn on mail sync and follow the steps in the setup wizard.

Email sync settings

Nutshell cares about your email privacy, so you have some sync settings to choose from to decide which emails should be synced and shared with Nutshell. Emails between members of your company's email domain will not be shared within Nutshell unless an existing Nutshell contact person is included on the email.

First, decide which emails you want to sync with Nutshell:

Nutshell will never automatically share emails that aren't associated with an existing Nutshell contact. With your sync turned on, all emails will appear in your personal Nutshell inbox, and emails you choose to share either automatically or manually will become visible to your team on the dashboard timeline and on company, people, and lead timelines. Only shared emails will count toward activity reporting/quotas and dashboard leaderboard numbers.

After an email has been imported to Nutshell, you can configure two options for sharing:

Automatically share messages to or from existing Nutshell contacts with users in Nutshell

Any email you send or receive from a person in Nutshell will show on their timeline, the timeline of associated companies and leads, as well as the main dashboard timeline. If you share a private email to or from someone who isn't yet a person in Nutshell, Nutshell will create the person and future emails to/from this person will automatically be shared.

Only share messages that you choose

All emails you send or receive will be visible in your Nutshell inbox, marked "Private", as well as on the person's timeline and the timelines of related companies and people.

Sharing from your inbox

You have a personal inbox—a place to share and unshare email. You are the only one who can see your inbox.

Emails from mail sync have an option to share with your team or hide from your team.

When you share an email, Nutshell will automatically create people for the sender or recipients.

How to tell whether an email is hidden or visible to your team

Messages that aren't shared with your team have a unique dashed line around them on the timeline, so it's always clear when a message is hidden from other users.

You can share a message from a company, person, or lead's timeline by clicking "Share with everyone" on the email:

Email blocklist

Are there certain emails you never want in Nutshell—those from HR or payroll tools, or even a family friend? Add address to your personal blocklist, and those messages will never touch our servers, much less appear in Nutshell.

FAQ

I just received an email, but I don't see it in Nutshell—what gives?

Nutshell checks every few minutes for email to sync, so sometimes it might be a couple emails behind. On the Settings tab, you can see your Sync Status, including the last check and the last email that was synced.

Only some emails have the option to "hide," why is that?

You have the option to share or hide email that has been imported using email sync. Email added with our existing BCC feature is there to stay. (You can still delete them, though!)

Are internal emails shared?

Messages amongst your team will never be automatically shared, whether it's an email about the cupcakes in the office kitchen or an email from your boss.

I'm concerned about the privacy of my emails. What options do I have?

  • You can set up a one-way email sync. Un-check the box that says Enable mail sync on the Settings tab. You'll still be able to send email from Nutshell, and you can add any replies into Nutshell manually by forwarding them to bcc@nutshell.com

  • Choose to share no messages with your team. You can decide which messages to share by clicking the Share with everyone button on hidden messages from the Inbox tab.

If I delete an email in Gmail/Office 365 or an email I've sent to bcc@nutshell.com, will it also delete the synced email from Nutshell?

No. Once an email is in to Nutshell, it is saved in your account and will not be deleted unless you manually do so from inside Nutshell.
